POLICE RECORDS CLERK

NATURE OF WORK
Serves under the direction of the Records Division Supervisor and provides moderately complex clerical and administrative support to the Records Division of the Police Department.
The Records Clerk is responsible for the processing, maintenance, retention, and quality control of all incident and criminal case files, court documents, statistical records, and other department documents within the Records Division. In addition, this position provides outstanding internal and external customer service – interfacing extensively with: City Council, court officials, Department Directors, community leaders, and the general public.

JOB TYPE
 Full-time position: 40 hours per week
 Monday – Friday
 8:00 AM to 5:00 PM

RECRUITING REQUIREMENTS
 High School graduate or equivalency
 Two (2) years of clerical experience with records management, computer and data entry
 Post high school education in office administration or related areas beneficial
 Must possess or have the ability to obtain LEADS certification within one year of employment
 Must possess a high degree of: professionalism, integrity, fairness, compassion, confidentiality, accuracy, and sound judgement
 May require occasional over-time

ESSENTIAL FUNCTIONS

 Maintains all incident reports, criminal case files, court documents, and department documents within the Records Division.
 Seals and expunges all police records as court-ordered. Stores and archives records.
 Independently tabulates and prepares statistical reports upon request, monthly reports and the annual report.
 Operates all office machines and duplicating equipment and does data entry processing.
 Types from rough draft or general instruction reports, supplemental reports, statements, complaints and related court documents, and form letters. Answers routine letters and requests for record checks.
 Transcribes reports and statements to typewritten copy.
 Proofreads typed material for grammatical and spelling errors, sorts, alphabetizes and files documents.
 Processes documents requiring office procedural knowledge, reviews documents for accuracy and sufficiency obtain necessary signatures and routes appropriately.
 Receives cash payments for providing copies of police reports, parking violations or other violations.
 Greets visitors and gives information in-person or by telephone to other units and the public; applying significant knowledge of department rules, regulations, and procedures.
 Receives and processes public records requests.
 Performs other work as required.

SALARY
$17.33 – $22.79 DOQ
